LeaderEI® is a leadership development and emotional intelligence consulting company operated by Castleberry Coaching and Consulting, LLC (“LeaderEI,” “we,” “us,” or “our”). We provide coaching, training, assessments (including EQ-i 2.0®, EQ360®, and MSCEIT® 2), and certification services to professionals and organizations.

2. What Information We Collect

We may collect the following categories of information when you visit our site, submit a form, use our chatbot, schedule services, purchase offerings, or otherwise interact with us:

• Chatbot conversation content and submitted inputs (when you choose to use the chatbot)

• Coaching, training, and certification participation records (as applicable)

Note: Payments are processed by third-party payment processors (e.g., PayPal or Stripe). We do not store full payment card numbers.

We do not sell personal information for money.

4. Assessment Data Ownership and Use

A. Individual ownership

Personal assessment results (including EQ-i 2.0®, EQ360®, and MSCEIT® 2) generally belong to the individual participant.

B. Organizational administration

If an organization contracts with us to administer assessments or services, the organization may receive certain participation or aggregated information consistent with the contract scope and applicable ethical guidelines. Where individual reports are shared with an organizational client, we do so only as authorized by the participant and/or the governing agreement.

C. Safeguards

• We do not reuse, sell, or distribute assessment data for advertising purposes.

• We follow applicable Multi-Health Systems Inc. (MHS) guidelines for test data protection and ethical use when delivering MHS-related instruments.

5. Cookies, Analytics, and Advertising Technologies

Our site may use cookies, pixels, tags, and similar technologies. These may be provided by us and/or third parties.

Examples of tools we may use include:

• Where required by law, we will treat a valid Global Privacy Control (GPC) signal as an opt-out request for applicable sale/sharing and/or targeted advertising. (Note: GPC support may depend on your browser and our site configuration.)

We do not discriminate against you for exercising your privacy rights.

7. Scheduling Tools

We may use third-party scheduling providers (e.g., Calendly). When you schedule with us, the scheduling provider may collect your name, email address, time zone, and appointment preferences. Your use of scheduling tools is subject to the provider’s privacy practices.

8. Chatbot Tools and AI Services

We use an AI-powered chatbot to support client interactions and respond to inquiries.

A. What we collect via chatbot

When you use the chatbot, we may collect and store the information you enter, including conversation content, to:

• Provide the service and respond to inquiries

• Troubleshoot issues and maintain quality

• Monitor security and prevent abuse

• Improve chatbot performance (e.g., refining prompts, workflows, and answer quality)

B. OpenAI / API processing

If the chatbot uses the OpenAI API, messages may be transmitted to OpenAI to generate responses. Data sent via the OpenAI API is not used by OpenAI to train or improve OpenAI models by default unless an account owner explicitly opts in to share data.

C. Avoid sharing sensitive information

Do not submit highly sensitive personal information (e.g., medical information, government ID numbers, passwords) through the chatbot. If you do, you do so at your discretion.

9. Payment Processing

Payments for assessments, coaching, training, or certifications are processed through secure third-party providers such as PayPal or Stripe. LeaderEI does not store full credit card numbers or bank account information. Payment platforms generally maintain PCI-compliant controls and encryption for payment security.

10. How We Share Information

We may share personal information in the following circumstances:

A. Service providers and vendors

We may share information with vendors who perform services for us, such as:

• Website hosting and site tools (e.g., Squarespace)

• Scheduling tools (e.g., Calendly)

• Chatbot hosting and infrastructure (e.g., Replit)

• Payment processors (e.g., PayPal, Stripe)

• Analytics and advertising partners (e.g., Google, Meta)

These providers are authorized to use personal information only as needed to provide services to us (subject to their own platform roles and policies).

B. Legal and safety

We may disclose information to comply with law, legal process, or lawful requests, and to protect rights, safety, and security (including fraud prevention).

C. Business transfers

If we undergo a business transaction (e.g., merger, acquisition, or asset sale), information may be transferred as part of that transaction.

11. Data Retention

We retain personal information only as long as reasonably necessary for the purposes described in this policy, including providing services, maintaining records, meeting legal/tax obligations, resolving disputes, and enforcing agreements. Retention periods vary by data type. For example:

• Transaction records may be retained longer to comply with accounting and tax requirements.

• Marketing inquiries and chatbot transcripts may be retained for a shorter period, unless needed for support, quality, or security.

12. Data Security

We use administrative, technical, and physical safeguards intended to protect personal information, including SSL encryption, access controls, and the secure use of reputable platforms and providers. No digital system is 100% secure. We encourage you to use caution and avoid sharing sensitive information through online forms or chat unless necessary.

13. Children’s Privacy

Our services are intended for adult professionals. We do not knowingly collect personal information from individuals under 18. If we learn that we collected information from a minor, we will delete it promptly.

14. International Users

If you access our services from outside the United States, your information may be processed in the United States, where data protection laws may differ from those in your jurisdiction. By using our site and services, you understand that your information may be transferred to and processed in the U.S.

15. Your Rights and How to Submit Requests

Depending on where you live, you may have rights regarding your personal information, which may include:
